How Remie handles your personal information

This Policy explains what personal information Remie collects, how we use and protect it, and your rights under the Australian Privacy Principles.

1.Overview

REMIE Australia Pty Ltd (ABN 22 665 122 412) (REMIE, we, our, and/or us) operates a remote assistant business, which provides business administration, reception, executive assistance and similar services to its clients (Services). Our website is located at https://www.remie.com.au (Website).

We are committed to protecting the privacy of any individual whose Personal Information we handle in connection with the provision of our Services (you and your).

We will handle Personal Information that we collect or obtain in connection with the provision of our Services in accordance with this Privacy Policy (Policy) and the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles which are set out in the Privacy Act (Australian Privacy Principles). Personal Information has the meaning as defined in the Privacy Act (Personal Information).

This Policy also provides you with notice of the collection of your Personal Information by us.

By using our Services or otherwise supplying us with Personal Information, you consent to our collection, use, disclosure, storage, destruction and otherwise handling of that Personal Information, in accordance with the terms of this Policy and the Australian Privacy Principles.

If you provide a pseudonym to us or wish to remain anonymous, you can browse and view the Website without restrictions, however we may not be able to provide you with the full extent of our Services and our interactions with you may be limited. We may require that you accurately identify yourself so that we can take reasonable steps to provide accurate information as part of providing our Services.

If we change this Policy, we will display the updated Policy on the Website and we may also advise you in writing. If you object to any changes, you may contact us and we will attempt to resolve your complaint within a reasonable time.

2.How do we collect your personal information?

We only collect Personal Information that is reasonably necessary to provide our Services and operate the Website.

We may collect Personal Information in the following circumstances (this is not an exhaustive list):

where you complete a form or registration process in relation to our Website or otherwise;

where you have inquired about our Services, or otherwise communicated with us in person, over email or phone, or otherwise;

where you have filled out a form or answered questions posed by us in relation to any actual or prospective commercial engagement relating to our Services including during any briefing or quoting process;

where you fill out a contract prepared by us or provide us with a contract prepared by you in relation to the provision of our Services;

where you have requested our Services to be provided to you;

from third parties, such as from your medical or dental practitioner, who may provide us with your Personal Information for the purposes of allowing us to provide virtual administration services to them and their medical practices;

where you are interacting with the Website, through the use of browser cookies or trackers; and

in such other situations, which we will inform you from time to time, where we collect Personal Information from you that is reasonably necessary for the operation of our Website and to provide the Services.

Where you engage us to provide Services to you, we will only collect your patients' Personal Information from you where you have entered into a contract for our Services with us and subject to clause 3(c) and clause 3(d) of this Policy.

3.What personal information do we collect?

The kinds of Personal Information we may collect from individuals will vary depending on the circumstances, and our interactions with those individuals.

We collect, use and store the following types of Personal Information:

Names;

Addresses and email addresses;

Phone numbers;

Gender;

Job information;

Date of birth;

Next of kin;

Geographical information;

IP address;

Billing information;

Medicare numbers;

Private health insurance numbers; and

Other Personal Information that you may voluntarily provide to us to assist us to provide our Services.

Some of the Personal Information we collect may be sensitive information as defined in the Privacy Act. Sensitive information may include things like health information, medical records, health history and test results. We will only collect sensitive information from an individual where that individual has provided their consent and through secure methods.

Where you engage us to provide Services to you, it is your responsibility to obtain all necessary consents from your patients when you collect their sensitive information and transmit that information to us as part of our services.

You wish to personally supply goods or services to us, engage us to provide Services to you or otherwise enter into a commercial relationship with us, you must provide accurate Personal Information to us as it will be impracticable for us to be involved in a commercial relationship with you unless you do so (for example, we would not be able to meet with you, discuss work with you, communicate with you by email and phone or send you draft and completed deliverables).

You are not an individual but wish to supply goods or services to us, engage us to provide Services to you or otherwise enter into a commercial relationship with us, you must provide accurate Personal Information to us of the individual representatives of your organisation, as it will be impracticable for us to be involved in a commercial relationship with you unless you do so (for example, we would not be able to meet with you, discuss work with you or communicate with you by email and phone).

4.What do we do with personal information we collect?

We will not sell or trade Personal Information to any third party, organisation or individual without your consent, other than if we are required to do so by law.

We may use and disclose Personal Information for the following purposes subject to clause 4(d) – clause 4(e):

to provide you with further information about our Services and Website;

to provide our Services to you;

to provide Services to your medical or dental practitioner;

to personalise your experience of our Services and the Website;

to respond to feedback and complaints;

for enforcement of a contract you have entered into with us or any agreement, undertaking, warranty or promise you have given us, such as our customer terms and conditions, supplier terms and conditions, and our Website terms and conditions;

for direct marketing purposes with your consent (see section 7 below);

to notify you of important changes to our Website or content on the Website that may be of interest to you;

for any other purpose for which you give your consent.

We may also disclose Personal Information:

to third parties used by us to assist us to provide you with our Services, including our Remie remote assistant contractors (Remies), website hosting providers and technology service providers;

to lessen or prevent serious threats to the health and safety of an individual or the general public;

to assist in locating missing individuals;

to any duly authorised law enforcement officer, or any other person, authorised by any law to receive your Personal Information from us; and

in circumstances permitted by the Privacy Act.

Where you engage us to provide Services to you, we will not use your patients' Personal Information or sensitive information for any purpose other than to provide Services to you.

We will not disclose sensitive information to any third party unless the relevant individual has provided consent or we are otherwise permitted or required by law to do so.

We hold Personal Information by storing it electronically, by exporting it onto a computer or in hard copy.

5.Do we send your personal information to parties outside Australia?

Our Remies are located in the Philippines. This means that your Personal Information may be transmitted to Remies located outside of Australia.

The Privacy Act requires us to ensure that, before disclosing Personal Information overseas, reasonable steps are taken to ensure that overseas recipients do not breach the Act or the applicable Australian Privacy Principles.

Amongst other measures, we take the following reasonable steps to ensure that our Remies do not breach the Act or the applicable Australian Privacy Principles:

If you are a medical or dental practice, your Remie will be a registered healthcare professional (such as nurse, pharmacist, dentist and other health professional) or a bachelor's degree graduate of a medical/healthcare qualification (such as nursing, pharmacy, dentistry), and as such your Remie has been educated on the importance of handling patient information appropriately;

Upon joining REMIE, all Remies must complete further mandatory certified online training provided by an Australian government agency on general privacy and data protection matters (including compliance with the Privacy Act);

You will be allocated a dedicated Remie whenever feasible to reduce the transfer of Personal Information;

Remies will permanently delete Personal Information as soon as it is no longer required for the provision of Services;

All devices and technologies (system and software) used by Remies must meet best practice guidelines for cybersecurity set by internal REMIE IT consultants; and

Remies are contractually bound to abide by the Privacy Act and are also bound by similar privacy laws applicable in the Philippines.

From time-to-time, we may also use third-party service providers for digital cloud storage, web hosting or other technology-related services in connection with the operation of our Website (Third Party Service Providers). We may disclose your Personal Information to these Third Party Service Providers who may operate outside of Australia, or operate in Australia with digital servers located outside of Australia.

As some of our Third Party Service Providers operate globally, we cannot say with certainty where their servers are located or the countries out of which they operate at any given time. Further, these locations may be subject to change without notice to us.

Although we take reasonable steps to ensure that our Third Party Service Providers do not breach the Act or the applicable Australian Privacy Principles, it is not always possible for us to ensure that multinational companies, such as technology businesses, will not do so.

7.Will we send direct marketing communications to you?

Subject strictly to clause 7(e), where you engage us to provide Services, your Personal Information may be used by us to offer you new products, notify you of new developments and updates to our Website, or to make other promotional communications to you related to our Services.

If you do not wish to receive direct marketing communications from us, you may opt-out any time by clicking a link on the email communications sent to you or contacting us (see section 10).

We may also use your Personal Information to provide you with targeted advertisements or marketing communications we believe may be of interest to you. Where we obtain your Personal Information from your medical or dental practitioner, we will never use this Personal Information for direct marketing purposes.

8.Do we collect personal information through cookies and analytics tools?

We collect device information, including information about your web browser, IP address, time zone, some of the cookies that are installed on your device, individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site using cookies and log files.

We may use cookies technology to store data on your computer using the functionality of your browser. Many websites do this because cookies allow our Website publisher to do useful things like find out whether the computer has visited the site before. You can modify your browser to prevent cookie use but if you do this, our Goods (and our Website) may not work properly. The information stored in the cookie is used to identify you.
